This Privacy Policy describes how Raks Group LLC ("Company," "we," "us," or "our") collects, uses, and shares information when you use the Caprix AI platform at caprixai.com (the "Service"). By using the Service, you agree to the collection and use of information as described in this policy.

1. Information We Collect

Account Information

When you create an account or request a trial, we collect:

  • Full name and email address
  • Company name and phone number
  • State of operation and team size
  • Services description

Company Profile Data

To operate the Service, you provide:

  • Legal entity name, DBA, EIN, DUNS number, SAM UEI
  • NAICS codes and business certifications
  • Key personnel, client references, and past performance history
  • Services descriptions, target states, and contract keywords

Uploaded Documents

You may upload company documents including past proposals, boilerplate text, resumes, and compliance forms. These documents are stored securely and used solely to generate proposals and fill forms within your account.

RFP and Bid Data

The Service processes solicitation documents and RFP text that you search for, import, or upload. This data is used to generate proposals, run compliance checks, and provide bid intelligence within your account.

Usage Data

We automatically collect standard usage data including IP addresses, browser type, pages visited, and feature usage patterns. This data helps us improve the Service and troubleshoot issues.

2. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve the Service
  • Generate proposals, score bids, and fill government forms using your company data
  • Match you with relevant solicitations based on your NAICS codes and certifications
  • Send account-related communications including trial activation, feature updates, and support responses
  • Monitor usage for security, fraud prevention, and rate limiting
  • Generate aggregate, anonymized analytics about Service performance

3. AI Processing

Caprix AI uses third-party AI models (Anthropic Claude) to generate proposals, score sections, extract requirements, and fill forms. When you use these features:

  • Your company profile data and RFP text are sent to the AI model as input
  • The AI model processes this data and returns generated content
  • Your data is not used to train or fine-tune the AI model. Anthropic's API data usage policy confirms that API inputs are not used for model training.
  • AI-generated content is stored in your account and is not shared with other users or tenants

4. Data Storage and Security

  • All data is stored in a PostgreSQL database hosted by Supabase with encryption at rest
  • Data in transit is encrypted using TLS 1.2 or higher
  • Each tenant's data is isolated using row-level security policies. Users can only access data belonging to their own tenant.
  • Uploaded documents are stored in Supabase Storage with access controls
  • Infrastructure is hosted on US-based servers (Vercel for application, Supabase for database and storage)
  • We do not sell, rent, or share your company data, proposals, or uploaded documents with third parties

5. Data Sharing

We share your information only in the following circumstances:

  • Service Providers: We use Supabase (database/storage), Vercel (hosting), Anthropic (AI processing), and Resend (email delivery). These providers process data on our behalf under contractual obligations.
  • Legal Requirements: We may disclose information if required by law, regulation, legal process, or government request.
  • Business Transfers: In the event of a merger, acquisition, or sale of assets, your data may be transferred as part of that transaction.

We do not sell personal information. We do not share your data with advertisers. We do not use your proposals or company data for any purpose other than providing the Service to you.

6. Data Retention

We retain your account data for as long as your account is active. If you cancel your subscription or your trial expires:

  • Your account data is retained for 90 days in case you reactivate
  • After 90 days, we delete your company profile, uploaded documents, proposals, and workspace data
  • Anonymized usage analytics may be retained indefinitely
  • Email logs are retained for 12 months for compliance and support purposes

You may request deletion of your data at any time by emailing dave@digitailab.com.

7. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Export your data in a portable format
  • Object to certain processing activities

8. Cookies

The Service uses essential cookies for authentication and session management. We do not use third-party tracking cookies, advertising cookies, or analytics cookies that track you across other websites.

9. Children's Privacy

The Service is not directed to individuals under 18 years of age. We do not knowingly collect personal information from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page and updating the "Last updated" date. Your continued use of the Service after changes constitutes acceptance of the updated policy.
